What can you do in CiviCRM? What can others do?
Any CLEO staff member can ask for and receive login credentials for CiviCRM. Basic access, also known as “view,” or “read” access, allows anyone to search for, view, or extract information in a variety of formats from the database.
To ensure the quality of the data and to protect the database from unintended changes, some tasks and functions are limited to staff members who have received additional training. This includes the ability to:
- Create or send bulk emails
- Create or edit groups, tags, activities, events and other CiviCRM elements
- Importing data or lists
- Other “admin” or “developer” functions
Please let your manager know if you would like to have more training or be able to do more things in CiviCRM.
For testing and training purposes, everyone will first log in to https://testing.outreach.cleo.on.ca/wp-admin/ (sandbox website). This site has the same options and data as the live site, except for very recent changes. The sandbox allows everyone to experiment and learn without risking the data in the live site. Remember that any changes made in the sandbox will not carry through to the live site. We will give people access to the live site as soon as we are comfortable working in CiviCRM without risking the live data.

Here are roles in CiviCRM, as defined by CLEO:
- Basic user: all staff with log in credentials. You can access (view or read) contacts, search, and generate reports
- Standard users: staff with more training: Everything a basic user can do, plus you can add or edit most contact information.
- Advanced user: staff with more training: Everything a standard user can do, plus the ability to edit contact groups, add or edits events and to send email campaigns. All sandbox users will have advanced user roles. Whether everyone will have or needs advanced user status on the live site is an ongoing conversation.
- CiviCRM Administrator: only Mira and Urooj. CiviCRM Administrators can create new elements and change parts of CiviCRM that other users cannot change. This is to protect the data.
